This Privacy Policy explains how HeyGuest collects, uses, stores and protects information when you use the HeyGuest platform and website.

By using HeyGuest, you acknowledge the practices described in this Privacy Policy.
HeyGuest is primarily a service for accommodation hosts and property owners.
A host creates a Digital Guest Guide containing information about their accommodation. The host can then share the guide with their guests using a web link or QR code.
Guests do not need to create a HeyGuest account or log in to HeyGuest to access a guide.
Guests may be directed from a guide to external services, such as:
These interactions take place outside the HeyGuest platform and are governed by the privacy policies and terms of those third-party services.
HeyGuest does not operate a guest messaging, guest review or guest communication system.
When you create or use a HeyGuest account, we may collect information such as:
You are responsible for ensuring that information you add to your guide is accurate and that you have the right to use and publish it.
Guests generally access HeyGuest guides without creating an account or submitting information to HeyGuest.
Depending on how the website and hosting infrastructure operate, technical information may be automatically collected when someone accesses a guide. This may include information such as:
This information may be used for security, analytics, troubleshooting and improving the platform.
HeyGuest does not intentionally require guests to provide their names, email addresses, reviews or messages as part of accessing a Digital Guest Guide.
Hosts may choose to include personal information about themselves, employees, property managers or other people in their Digital Guest Guides.
Because a Digital Guest Guide can be accessed by anyone who has the relevant link or QR code, hosts should take care not to publish information that should remain private.
Hosts are responsible for ensuring that any personal information they publish through HeyGuest is lawful, appropriate and necessary for the purpose for which it is provided.
For example, hosts should avoid placing passwords, identification numbers, private personal information or other sensitive information in a publicly accessible guide unless there is a legitimate reason to do so.
We may use information to:
We do not use guest access to a guide to create guest profiles for marketing purposes.
Where applicable, HeyGuest processes personal information in accordance with the Protection of Personal Information Act, 2013 (POPIA) and other applicable South African law.
Depending on the circumstances, information may be processed because:
HeyGuest provides the platform, but hosts control the information they place in their Digital Guest Guides.
Hosts are responsible for:
HeyGuest is not responsible for the legality, accuracy or completeness of content uploaded by a host.
Hosts retain ownership of the content they upload to HeyGuest.
By uploading content, you give HeyGuest a limited licence to host, store, reproduce and display that content only to the extent reasonably necessary to provide and operate the HeyGuest service.
This licence ends when the content is deleted or the account is terminated, subject to reasonable technical, legal or backup retention requirements.
HeyGuest will not use a host’s photographs, branding, property information or other content for HeyGuest marketing without the host’s permission.
Paid HeyGuest subscriptions are processed through Paddle, which acts as the Merchant of Record for transactions.
Paddle may process information necessary to complete payments, manage subscriptions, issue invoices and comply with applicable tax, fraud prevention and legal requirements.
Payment information is handled by Paddle in accordance with its own terms and privacy practices. HeyGuest does not need to store your full payment card details to provide the service.
HeyGuest uses 1-grid infrastructure for hosting and operating the application and database.
Customer account information and Digital Guest Guide data are stored and processed using the infrastructure provided for HeyGuest by 1-grid.
HeyGuest also uses 1-grid’s email/SMTP infrastructure for certain email communications.
Depending on the infrastructure and services used, information may be processed or stored in South Africa or in other jurisdictions. Where personal information is transferred outside South Africa, HeyGuest will take reasonable steps to ensure that applicable POPIA requirements relating to cross-border transfers are addressed.
HeyGuest may use third-party analytics and marketing technologies, including:
These technologies may collect information about how visitors interact with the website and may help us understand website usage, measure advertising effectiveness and improve our marketing.
Third-party providers may process information in accordance with their own privacy policies and terms.

You can adjust cookie settings through your browser. Disabling certain cookies may affect some website functionality.
A Digital Guest Guide may contain links to third-party websites and services, including WhatsApp, Google Reviews, Google Maps and other websites selected by the host.

When you leave HeyGuest and use a third-party service, that service’s own terms and privacy policy apply.
